Confidential Files

The Confidential Files module allows local authorities to send specific documents directly to an assigned staff member or role in your school. This streamlines communication but also minimises the risk of unauthorised access, thereby safeguarding sensitive data.

When your LA sends you a confidential file, it will be visible in the My Confidential Files folder within your Services > Documents area.

If the LA choose to notify you upon sending a file, an email will be sent to the address we have registered for you on Perspective Lite.

The LA can send files directly to all users of a certain role they define (for example Deputy Head). As such, you need to ensure these roles are assigned to the correct staff and maintained regularly, so you can be sure the relevant files are being accessed. For help managing which members of staff are assigned to each role, check out this help guide.

Each Confidential Files folder is only accessible to the logged-in user. Files within this folder cannot be seen by other staff unless the Local Authority included them in the file audience, in which case they would also have a copy inside their own personal Confidential Files folder.

If you are unable to locate a file, or the wrong file has been shared with you, please contact your Local Authority directly.

To download a confidential file, click View or click on the file name.

A confidential file will remain in your Perspective system until it is deleted by the LA or the user is archived.

If your Local Authority subscribes to our Documents Search functionality in Perspective Lite, any searches you make will include files in your confidential folder.

If you need to return any files to your LA, you will need to use the Services > File Returns page. For more information on that, click here.
